Turo host bookkeeping: a 20-minute monthly routine
Most hosts do not have a bookkeeping problem. They have a timing problem: the numbers are scattered across Turo, bank statements, toll accounts and receipts, and nobody sits down to line them up until tax season. A short routine, done every month, fixes that.
This is general information, not tax, legal or accounting advice. Talk to a CPA about your own situation.
Why monthly beats yearly
- Payouts are easy to check while they are fresh. A missing payout is simple to chase this month and painful to chase in March.
- Tolls and violations expire in your memory. If you do not match them to a trip soon, you stop knowing who drove the car.
- Your cars tell you what is working. Seeing profit per car every month shows you which ones earn and which just look busy.
The routine
1. Download your Turo files (3 minutes). From a computer, open your Turo account, go to Business and download the CSV from Earnings and the CSV from Transaction history. Keep the files exactly as they come; do not re-save them in a spreadsheet, because that can change the dates and numbers.
2. Import them (2 minutes). Load both files into your accounting tool so every trip and payout is recorded once. If a trip already exists, the import should not create a second copy.
3. Check that payouts match (5 minutes). For the month, compare the total Turo says it paid you with what actually landed in your bank account. A small difference is normal if a payout is still in transit; a large one needs a look.
4. Record your expenses (5 minutes). Fuel, cleaning, repairs, registration, insurance, parking, subscriptions. Take a photo of each receipt when you pay and record it that day if you can. At month end, only the leftovers remain.
5. Match tolls and fees to trips (3 minutes). Any toll in the month should be tied to the trip it happened on. If a guest should reimburse it, start that request now.
6. Glance at profit by car (2 minutes). Revenue minus the costs of each car for the month. If one car loses money two months in a row, that is a decision to make, not a surprise to discover.
What a good month-end looks like
- Every trip is imported once.
- The month's payouts add up to what the bank shows.
- Every expense has a category and a receipt.
- Tolls are linked to trips, and reimbursements are requested.
- You can tell, in one minute, how much each car made.
Mistakes that cost the most
- Mixing personal and business money. Use a separate account and card for the business. It makes everything above ten times easier.
- Recording income only when it hits the bank. Record the trip, then confirm the payout. Otherwise you cannot tell a late payout from a missing one.
- Losing receipts. If you cannot show it, it is hard to deduct it.
- Waiting for the accountant. An accountant works faster, and charges less, when the month is already clean.
